Privacy Policy

The BMPD Systems Bot and this website are operated by the administration of the Belmont City Police Department online community (“BMPD”, “we”, “our”). This is a community service and is not an official government police service. It is not affiliated with or endorsed by Roblox Corporation or Discord Inc.

• Discord user IDs, usernames, server membership, roles and nicknames.
• Roblox user IDs, usernames, display names and legacy Community role or rank information.
• Account links between a Discord user and one or more Roblox accounts.
• Role bindings, command permissions, bypass lists, configured channels and approved website-user IDs.
• Personnel actions, divisional documents, roster records, medals and training results entered by authorised staff.
• Daily message-count totals by user and channel for activity statistics. Message content is not read or stored by this statistics feature.
• A signed website session cookie after an approved staff member signs in with Discord.

We do not ask for or store Roblox passwords, Discord passwords or .ROBLOSECURITY cookies. Roblox and Discord OAuth access tokens are used only to complete the requested sign-in or verification and are not retained in the bot’s data store.

We process this information to verify account ownership, assign and remove department roles, format nicknames, operate staff tools, prevent unauthorised command or website access, maintain personnel records, diagnose failures and recover the service after outages.

Information may be processed by Discord and Roblox when their services are used, by Render where the bot and website are hosted, and by GitHub where encrypted off-site backup files are stored in a private repository. We do not sell personal information or use it for advertising.

Account links and configuration are retained while required to operate the community or until they are removed. Verification requests expire after approximately ten minutes. Daily message-count totals are limited to approximately 400 days. The local audit view retains a limited number of recent personnel records. Encrypted, timestamped backups may remain in the private GitHub repository until they are removed under the configured retention policy, including after information changes in the live service.

You may ask BMPD administration through the official community Discord server to review, correct or delete information associated with your account, subject to records we reasonably need for safety, abuse prevention or administrative accountability. You can remove a linked Roblox account with the bot’s account-management command.

Dashboard access is limited to approved Discord user IDs. Sensitive credentials are stored as hosting secrets, website sessions are signed and off-site backups are encrypted before being stored in a private GitHub repository. No online system can be guaranteed completely secure.

This service is intended only for people permitted to use Roblox and Discord under those platforms’ rules. We do not knowingly request information beyond what is needed for community verification and operation.

We may update this policy when the service changes. The effective date will be updated on this page. Privacy questions or requests should be directed to BMPD administration through the official Belmont community Discord server.
